Question: How do I import all my fixed assets?
Answer: In addition to creating fixed assets in the Systems Manager portal, you can import fixed assets from a Comma Separated Value (CSV) file. Follow the steps below to import fixed assets from a CSV file.

Importing Fixed Assets
- Under the Assets tab, click the Fixed Assets subtab.
- Point to the Fixed Assets menu and choose Import Fixed Assets to display the Select a Fixed Asset CSV File page.
- Click the Browse button to locate the CSV file to import.
NOTE: Select a CSV file from your hard drive that at a minimum has a fixed asset name. The CSV file should use double-quote delimiters and comma separators.
- Click the Preview button to upload the file and display the Select Fixed Asset Importing Options page.
- Select the options to use to import the fixed assets from the CSV:
- Select Ignore header line (first line) of CSV file if the first line of the CSV file is a header instead of data (e.g. column titles).
- Select the Reconcile Fixed Assets Using option for the asset field to use as the unique key for importing. When importing a CSV row, this field is used to match the CSV row with the existing fixed assets. If the key value in the CSV file does not match an existing fixed asset a new fixed asset is created, otherwise the matching fixed asset is updated with the values from the CSV row.
- Select Remove single quotes to import data in the format it was exported from a report.
- Select Ignore object references that don't exist if CSV values for asset categories, asset statuses, departments, locations, financial departments, acquisition methods, retirement methods, and vendor names that are not defined in Systems Manager should be ignored. If this is not checked, these errors will cause the CSV row with the invalid data to not be imported.
- Select Ignore date format errors if CSV values for custom date fields, acquisition date, lease renewal date, retirement date, and service expiration date that are not in the format MM/DD/YYYY should be ignored. If this is not checked, these errors will cause the CSV row with the invalid data to not be imported.
- Select Truncate values that are too long if CSV values for text fields that are longer than the maximum allowable length should be truncated to the maximum length. If this is not checked, these errors will cause the CSV row with the invalid data to not be imported.
- The first line of CSV file is displayed to create the column mappings used to import fixed assets. Select the CSV column data that maps to the appropriate fixed asset fields. You can map the following fields:
- Asset Name (required)
- Asset Category
- Asset Status
- Asset Tag (required if used as key)
- Manufacturer
- Model
- Serial Number (required if used as key)
- All enabled custom text fields
- All enabled custom date fields
- Department
- Location
- Address
- Building
- Room
- Port
- Financial Department
- Purchase Order
- Acquisition Method
- Acquisition Date
- Lease Renewal Date
- Retirement Date
- Retirement Method
- Cost
- Financial Notes
- Vendor Name
- Contract Number
- Service Expiration Date
- Click the Import button to import the assets from the CSV file and display the Fixed Asset Import Results page.
Fixed Asset Import Status
The Fixed Asset Import Status page allows you to track the following details about the current status of the fixed asset import:
- Status message:
- Initializing Import specifies that the import process is initializing and should begin shortly.
- Reading CSV Data specifies that fixed asset import file is being read.
- Import In Progress specifies that fixed assets are being stored in the asset system.
- Number of fixed assets processed
- Total number of fixed assets being imported
- Percentage of import completed
At any time during the import process, you can click Stop Import to terminate import processing.
Fixed Asset Import Results
The Fixed Asset Import Results page allows you to view the following details from importing fixed assets from the CSV file:
- Number of fixed assets created
- Number of fixed assets updated
- Number of fixed assets that were not imported because of errors
- Warnings: When a warning occurs, the CSV row that caused the warning is imported, but some data might have been lost due to an invalid reference, invalid date format, or a text value that exceeded the maximum length.
- Errors: When an error occurs, the CSV row that caused the error is not imported.
You can also complete the following tasks on the Fixed Asset Import Results page:
- Click the View All Fixed Assets button to view all of the fixed assets.
- Click the Import More Fixed Assets button to begin importing more fixed assets.
